Why do we use Beehive?
Beehive is a platform created by the Habitat Learn developers and its main goal is to keep track and schedule the service requests we get from our clients and schools.

- You will use Beehive to keep track of your assigned sessions (your schedule) and to update the status of your attendance after every session.
- If you were contacted by the scheduler and your confirmed session(s) haven't appeared under your Beehive "My Shifts" page, please make sure you reach out to them and follow up.

1) ACCESS YOUR SESSION DETAILS
- You can find the details of your assignment under the My Shifts tab on Beehive. Click the three vertical dots to the right and the Details button will pop up. Click on that and it will take you to your session page.
Important: The time listed under "Client Time" is either in Eastern Standard Time/Pacific Time/Central Time or Mountain Time. Please adjust your schedules accordingly so you don't miss your classes if you're not located in this region. You can double check the time of those classes when you get to the Details page, under the Booking Schedule segment (scroll down the page). It will show you what time zone the class is occurring in and the class time.
2) UPDATE YOUR STATUS
You have to update the status of your assignment while you are in the process of completing it. You can do so by clicking on the Update Status button once you get into your session details for that particular assignment.

3) PICK YOUR STATUS WHEN YOU START THE ASSIGNMENT AND WHEN YOU FINISH THE ASSIGNMENT
A pop up appear after you click the Update Status button. There are two columns on that pop up and you have to submit your choices for each column separately. If you try to submit your choices for the two columns at the same time, they will not be saved.

- - You want to choose the correct status on the column on the left first. When you're starting and are in the midst of writing your notes, pick the "On-going" option. Once you are done with the notes and have submitted your notes, come back to this pop up and pick "Class Ended".
- Make sure you save your choices by scrolling all the way down and clicking the "Update Status" button.
4) UPDATE THE BILLING
Once you finish your notes, click the Update Status button again and fill in the Billing column.

- If your class ran over time (past your scheduled end time) you want to pick Work is Done - Live Session - Bill Customer By Actual Session Time, and you are to fill in this portion once you submit your notes. Otherwise,you'll want to choose the last option, Work is Done - Live Session - Bill Customer By Scheduled Time.
5) DOUBLE CHECK YOUR CHOICES
You'll know if your choices for the status update and billing went through because they will be listed under the your Status and Booking Status sections that appear near the top of the page.

6) UPLOAD YOUR NOTES
You have to upload your notes as a word doc (.doc or .docx) when you've completed them. Beehive can only support uploads that are a maximum of 8MB. If your document is too large, you'll have to upload them onto Google Docs and share the link on the submission pop up. Make sure you've set your permissions to public so our staff and the client can access the Google Doc.

7) FILL IN YOUR WORK TIME
After you're done with your notes, please make sure you update the time you worked (for example, if it started late or went over time). To do so, scroll down to Booking Schedule section of the Booking Details page. Make sure you enter the exact End Time if your class went over time. After that, click the "Update Time" button.

Make sure you pick "This Booking" when they ask you to confirm the time update. And once your choice goes through, you'll get a little notification on the page to tell you your time submission was successful.
